A flash drive stores files, and an email is not a file until the client writes one. The choice of format decides what you can do with the drive later.

For a personal archive, .eml or .msg plus a PDF of the important ones is the durable combination. A .pst is a fine backup but is useless without Outlook; the background is on what is a PST file.

How to save Outlook emails to a flash drive
- Plug in the drive and open it in File Explorer. Create a folder such as
Mail archive\2026 Smith case. - In Outlook, open the mail folder, click one message and press Ctrl+A to select all, or Ctrl-click a selection.
- Drag the selection into the Explorer window. Outlook writes one .msg per message, each named after the subject, attachments inside. Several hundred messages take a minute or two.
- For a whole account with its folder tree, use File, Open and Export, Export to a file, Outlook Data File (.pst), and save the .pst straight to the drive.

How to save Gmail, Yahoo or Apple Mail emails to a thumb drive
- Gmail, a few messages: three dots, Download message, then move the .eml files from Downloads to the drive.

Folder structure and file naming that lasts
The drive will be opened by someone who does not remember the context, possibly you. Three rules:
- One folder per matter, year first:
2026 Landlord dispute,2025 Taxes. Avoid folders named after the mail client. - Date-first file names:
2026-03-14 Jones - Deposit refund.eml. Sorting by name then sorts by time, and the original subject stays visible. Outlook and Gmail do not add the date; rename on the drive, or at least keep the files inside a dated folder. - Keep pairs together: the .eml or .msg next to its .pdf, and attachments in a subfolder named after the message if there are many.
Add a short README.txt saying which account the files came from and which export method produced them. Format the drive as exFAT if it will move between Windows and Mac.
Reading the files later without Outlook
The weak point of any email archive on a drive is opening it years later on a machine without the original client.
