How to print email from Outlook

How to print email from Outlook: open the message and press Ctrl+P (File → Print in classic Outlook and on a Mac, More actions → Print in new Outlook and on the web). Quick Print sends the message straight to the default printer with no dialog. Everything else stops at a preview, which is where you choose the printer, the number of copies and whether attachments print.

Classic Outlook for Windows: File → Print

  1. Click the email once in the list, or double-click to open it. Either works; the open window shows exactly what the printer will get.
  2. Press Ctrl-P or click File → Print.
  3. Choose the printer. Pick Microsoft Print to PDF here if you want a file.
  4. Under Settings, keep Memo Style. Table Style prints the list of messages in the folder, one line each, which is handy for an index but is not the email.
  5. Click Print Options for copies, page range, and the checkbox Print attached files. Attachments go to the default printer, opened by whatever program handles that file type.
  6. Click Print.

The header on the page shows your name, the From, Sent, To and Subject lines, and the attachment names. To print several emails, select them with Ctrl and use File → Print once; Outlook prints each as a separate job.

New Outlook, Outlook on the web and Hotmail

  1. Open the message in the reading pane or in its own window.
  2. Click the three dots (More actions) at the top-right of the message and choose Print.
  3. Outlook opens a print-ready view. Click Print there to reach the browser or system dialog.
  4. Pick the printer, or Save as PDF, and confirm.

Hotmail, Live and Outlook.com addresses all use this interface, so "how do I print a Hotmail email" has the same answer. There is no print-attachments checkbox here; open each attachment and print it from its own viewer.

Outlook for Mac

Select the message and press Command-P, or choose File → Print. The macOS dialog lets you pick a printer, set copies and page range, and the PDF menu in the corner saves a file instead. Attachments are printed from their own apps; Outlook for Mac does not print them with the message. For a long thread, set a page range in the dialog, because Outlook for Mac has no option to drop quoted replies; print preview on the left shows how many pages you are about to use.

Print a .msg or .eml file without Outlook

When someone sends you an email as a file, you do not need Outlook to print it. Drop the file on savemail.app; the message is parsed in your browser tab (no upload, no account) and shown with its headers, body, inline images and attachment list. Press Save as PDF and either print from the dialog directly or save the PDF and print it later. Attachments can be downloaded from the same page and printed separately. Can't print an email from Outlook? Check these first

  • Nothing happens on Print: in classic Outlook, open the message in its own window and try again; printing from the reading pane fails on some systems when a web add-in is active.
  • The page is blank or cut off: switch Memo Style's page setup to fit, or print to PDF first and print the PDF.
  • Outlook on the web shows no preview: the browser blocked the pop-up; allow pop-ups for outlook.office.com or outlook.live.com.
